Open Positions for Wilkins Association

DUTIES AND RESPONSIBILITIES OF THE POSITIONS FOR THE WILKINS BASEBALL ASSOCIATION

Commissioner - The Commissioner shall:

  1. Conduct the affairs of the Wilkins Baseball Association and execute the policies established by the Board of Directors.
  2. Present a report of the condition of the Wilkins Baseball Association at the Annual Meeting.
  3. Communicate to the Board of Directors such matters as deemed appropriate, and make such suggestions as may tend to promote the welfare of the Wilkins Baseball Association.
  4. Be responsible for the conduct of the Wilkins Baseball Association in strict conformity to the policies, principles, Rules and Regulations of Little League Baseball, Incorporated, as agreed to under the conditions of charter issued to the Wilkins Baseball Association by that organization.
  5. Designate in writing other officers, if necessary, to have power to make and execute for/and in the name of the Wilkins Baseball Association such contracts and leases they may receive and which have had prior approval of the Board.
  6. Investigate complaints, irregularities and conditions detrimental to the Wilkins Baseball Association and report thereon to the Board or Executive Committee as circumstances warrant.
  7. Prepare and submit an annual budget to the Board of Directors and be responsible for the proper execution thereof.
  8. Complete the required background checks per Little League Regulation or delegate this responsibility to other designated Board member.
  9. Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for children and all participants of Little League.
  10. Develop and implement a plan for increasing safety of activities, equipment and facilities through education, compliance and reporting with the Safety Officer/Agent.
  11. Represent coaches/managers in league;
  12. Order and distribute training materials to coaches, managers and players
  13. Coordinate mini-clinics as necessary;
  14. Serve as the contact person for Little League International
  15. Term for the Commissioner – 2 years

    Deputy Commissioner - The Deputy Commissioner shall:

  16. Perform the duties of the Commissioner in the absence or disability of the Commissioner, provided he or she is authorized by the Commissioner or Board so to act. When so acting, the Deputy Commissioner shall have all the powers of that office.
  17. Perform such duties as from time to time may be assigned by the Board of Directors or by the Commissioner.
  18. Term for the Deputy Commissioner – 2 years

    Secretary - The Secretary shall:

  19. Be responsible for recording the activities of the Wilkins Baseball Association and maintain appropriate files, mailing lists and necessary records.
  20. Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors.
  21. Maintain a list of all Regular, Sustaining and Honorary Members, Directors and committee members and give notice of all meetings of the Wilkins Baseball Association, the Board of Directors and Committees.
  22. Issue membership cards to Regular Members, if approved by the Board of Directors.
  23. Keep the minutes of the meetings of the Members, the Board of Directors and the Executive Committee, and cause them to be recorded in a book kept for that purpose.
  24. Conduct all correspondence not otherwise specifically delegated in connection with said meeting and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.
  25. Notify Members, Directors, Officers and committee members of their election or appointment.
  26. Term for the Secretary – 1 year

    Treasurer - The Treasurer shall:

  1. Perform such duties as are herein set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors.
  2. Receive all moneys and securities, and deposit same in a depository approved by the Board of Directors.
  3. Keep records for the receipt and disbursement of all moneys and securities of the Wilkins Baseball Association, including the Auxiliary, approve all payments from allotted funds and draw checks therefore in agreement with policies established in advance of such actions by the Board of Directors. All disbursements by check must have dual signatures.
  4. Shall control the purchase order forms, which must by signed by the Commissioner, Deputy Commissioner, or Treasurer in order to be valid.
  5. Prepare an annual budget, under the direction of the Commissioner, for submission to the Board of Directors at the Annual Meeting.
  6. Prepare an annual financial report, under the direction of the Commissioner, for submission to the Membership and Board of Directors at the Annual Meeting, and to Little League International.
  7. Term for the Treasurer – 1 year

    Marketing/Public Relations Manager - The Marketing/Public Relations Manager shall:

  1. Oversee new player recruitment efforts;
  2. Develop and maintain a league marketing plan focused on player recruitment and retention;
  3. Oversee efforts to market new divisions of play and initiatives offered by the league;
  4. Work with local media to promote the interests of Little League;
  5. Coordinate efforts to make the Wilkins Baseball Association visible in the community year-round.
  6. Term for the Marketing/Public Relations Manager – 1 year

    Sponsorship/Fundraising Manager - The Sponsorship/Fundraising Manager shall:

  1. Solicit and secures local sponsorships to support league operations;
  2. Collect and reviews sponsorship and fundraising opportunities;
  3. Organize and implements approved league fundraising activities;
  4. Coordinate participation in fundraising activities;
  5. Selecting and administering fundraising committees
  6. Maintain records of monies secured through sponsorship and fundraising initiatives.
  7. Ensure regulation and polices related to sponsorships and fundraising are followed.
  8. Term for the Sponsorship/Fundraising Manager – 1 year

    League Information Officer/Website-Social Media Coordinator - The League Information Officer/Website-Social Media Coordinator shall:

  1. Set up and manage the league’s official website (site authorized by Little League International);
  2. Set up online registration and ensure player, manager, and coach data is uploaded to the Little League Data Center;
  3. Assign online administrative rights to other local volunteers;
  4. Encourage creation of team web sites to managers, coaches, and parents;
  5. Ensure that league news and scores are updated online on a regular basis;
  6. Collect, post, and distribute important information on league activities including direct dissemination of fund-raising and sponsor activities, the district, the public, league members, and the media;
  7. Serves as primary contact person for Little League regarding optimizing use of the Internet for league administration and for distributing information to league members and to Little League Baseball, Incorporated.
  8. Term for the League Information Officer/Website-Social Media Coordinator – 1 year

    Concession Manager - The Concession Manager shall:

  1. Maintain the operation of concession facilities and equipment

    Note:  Preform minor repairs on equipment but all major repairs need to be approved by Commissioner and/or Treasurer

  2. Organize the purchase of concession products;
  3. Be responsible for the management of the concession sales at league events;
  4. Schedule volunteers to work the concession booth during league events via Scheduling software such as Signup Genius;
  5. Collects and reviews concession-related offers, including discounts and bulk- purchasing opportunities;
  6. Organize, tally, and keep records of concession sales and purchases.
  7. Coordinator with Treasurer to get Concession Stand money deposited into league bank account.
  8. Term for the Concession Manager – 1 year

    Field Maintenance Officer/Grounds Committee – The Field Maintenance Officer/Grounds Committee shall:

  1. Work with the Commissioner and Deputy Commissioner to care and maintain the playing field(s), buildings where appropriate and grounds.
  2. Shall operate within the amount appropriated in the approved budget for that purpose.
  3. Term for Field Maintenance Officer/Grounds Committee – 1 year

Coaches – All coaches shall:

  1. All Teams will have 1 head coach, 1 Assistant Coach and 1 Bench Coach or Score Keeper
  2. Record all player transactions during games and maintain an accurate and up-to-date record thereof.  All T-ball coaches are exempt from this requirement.
  3. Conduct the evaluation for the player drafting and for any other selection meeting.
  4. Assessing field condition 2 hours prior for any home games and contact Umpire Coordinator, Away Coach, Concession Stand Manager and team of cancellation

    Note: 

    1. Prepping field 30-45 minutes prior to home games or designate a specific parent to accomplish this responsibility which consists of dragging field, lining field, securing bases and pitcher’s mound, cleaning up dugouts and etc.
    2. Head Coach is responsible for rescheduling an umpire via the umpire coordinator and Concession Stand Manager for any cancelled and/or rescheduled game.
  5. Shall be responsible for receiving funds from the Concession Stand to pay the umpire(s)
  6. Shall be responsible for collecting money from the Concession Stand and getting it to the Concession Stand Manager
  7. Prepare and have on hand the player roaster with all contact information.
  8. Must have and provide the Secretary or Commissioner with a copy of current background check clearances for PA Criminal History and Child Abuse.
  9. Shall attend or send a representative for your team to every general meeting and open board meeting.
  10. Report concerns relating to the Association regarding the league that they represent, for communicating with the coaches in their representatives leagues and rule changes and current events, helping to initiate new coaches to the league, and shall perform whatever additional duties the Commissioner may from time-to-time prescribe.
  11. Term for all Coaches – 1 year

Safety Officer - The Safety Officer shall:

  1. Be responsible to create awareness, through education and information, of the opportunities to provide a safer environment for children and all participants of Little League.
  2. Develop and implement a plan for increasing safety of activities, equipment and facilities through education, compliance and reporting.

    NOTE: In order to implement a safety plan using education, compliance and reporting, the following suggestions may be utilized by the Safety Officer:

    1. Education - Should facilitate meetings and distribute information among participants including players, managers, coaches, umpires, league officials, parents, guardians and other volunteers.
    2. Compliance - Should promote safety compliance leadership by increasing awareness of the safety opportunities that arise from these responsibilities.
    3. Reporting - Define a process to assure that incidents are recorded, information is sent to league/district and national offices, and follow-up information on medical and other data is forwarded as available.
  3. If no Safety Officer is elected, these duties will fall under the Commissioner’s duties
  4. Term for the Safety Officer – 1 year
